TOUR AND FIELD WORKSHOP TERMS AND CONDITIONS AND CANCELLATIONS
We know that schedules can change and unexpected conflicts sometimes make it necessary to withdraw from a tour or workshop. Once you sign up and submit a deposit, however, we reserve your space and begin preparing for your participation. Enrollment numbers guide our planning, advance payments, and other logistical arrangements, and processing each registration involves administrative time and expense.
Because a late cancellation leaves us with limited time to fill your spot and may result in financial loss, our refund policy is structured on a sliding scale based on how far in advance we are notified.
The cancellation and refund schedule is provided below.
Further terms and conditions apply to Art Wolfe, Inc. Tours and Field Workshops. Those will be provided at time of sign up or at request.
- Should you need to cancel, you must do so no less than 150 business days prior to the course date to receive a refund, less a handling fee of 5% (plus any transaction fees that apply).
- If Art Wolfe, Inc. receives written notification cancelling your Trip more than 149-90 days prior to the planned departure of your Trip, Art Wolfe, Inc. will refund 50% of the total Trip cost to you.
- If you cancel between 89 and 61 business days prior to your course, you will receive a 25% refund.
- If you cancel between 60 and 1 business day(s) prior to your course, there is NO refund of the course fee paid.
You may cancel by telephone or in writing. The time of cancellation will be the date upon which we receive notice from you. Arriving late or leaving a Trip in progress, for any reason whatsoever, will not result in a refund, and no refunds will be made for any unused portions of a Trip.
If we need to cancel a session for any other reason, a full refund or credit for another workshop taken within 12 months will be issued promptly following cancellation. Please check on your workshop status before making travel arrangements. Art Wolfe Inc. is not responsible for reimbursement of airline tickets. We encourage all participants to consider purchasing travel insurance. Please check on your tour/workshop status before making travel arrangements.

TRANSFERS
If you would like to transfer to a different course, or different dates for the same course, we would be happy to accommodate your request on a space-available basis and with the payment of an administrative fee. If you transfer more than 150 days prior to your originally scheduled course, the fee will be $200. Transfers that are requested within less than 90 days will only be granted on a cast by case basis.
Booking
Register for the tour of your choice by sending a deposit (deposit amount varies per tour) or providing payment through the check out page on our website. As we specialize in small-group tours, registration is on a first-come basis.
Payment
We accept payments by check or money order (in US dollars) to our PO Box, by bank/wire transfer, or by credit/debit card (3% credit card processing fee applied).

Final payment is usually due 60 – 75 days prior to the start of the tour but this depends on the tour. A final invoice will be sent to you, by email, shortly before the due date.
